The wedding day is one of the most memorable days in a couples’ lives. However, it also has potential to become one of the most stressful. In today’s technology based world, there are countless resources available to creative couples who have the time and inspiration to plan all the details of the big day, but how do couples make sure that all those details are executed exactly as they’ve envisioned? It’s this very gap that Day-Of Coordination is designed to fill. Our most popular service package, Inspired Occasions’ Basics Coordination gives couples the creative freedom to plan their big day, peace of mind that their vision will come to life and time to enjoy every minute of this monumental occasion.
What exactly does day-of coordination entail? The term “day-of” is deceiving.
To successfully coordinate an intricate event like a wedding day, a coordinator needs to be have a full understanding of every detail planned by the couple. That is why our relationship with our coordination clients begins from the complimentary initial consultation and continues with unlimited phone and email consultation throughout their planning period. As the big day approaches our couples’ Coordinator works closely with them to finalize all of their plans, identify and troubleshoot any issues, develop a detailed wedding day timeline, confirm all vendor service arrangements, and choreograph and coordinate their ceremony rehearsal. All of this final legwork sets the stage for a smooth and stress-free wedding day for everyone. Wedding Planner, Taia Younis, describes this process as “getting all the information about their wedding day out of their heads and into mine so that they can stop worrying about the details. It’s my job to worry about them now!”
On wedding day the Inspired Occasions team really shines. The Coordinator and two assistants will have all of the bases covered throughout the day. A Bridal Attendant, whose sole job is to take great care of the couple, bridal party and family, will arrive with our “Colossal Wedding Day Emergency Kit”, deliver refreshments and troubleshoot any issues that arise so that everyone can enjoy the day and make it to the ceremony on time.
Meanwhile, the rest of the team will be at the venue(s) from as early as necessary until the conclusion of the reception to manage vendors, oversee décor installation and manage the timeline. At the end of the night, our couples will return to their candlelit hotel suite and find that all of their gifts, cards and sentimental items have safely and “magically” arrived.
Inspired Occasions Bride, Klare Ingram, enlisted the help of Wedding Planner, Taia Younis, to coordinate her Saratoga wedding. As an admitted “type A”, she chose to invest in day-of coordination so that she could enjoy her own wedding and ensure that all of the details would come together as she envisioned. Klare sought Taia’s unbiased and experienced input when finalizing all event details during the weeks leading up to her wedding. She asked daily questions and was always assured by the guidance that she was provided. Klare took advantage of Taia’s expertise to solve some major problems with the rehearsal dinner arrangements while Klare’s Dad enlisted her help in planning a secret fireworks surprise for Klare. Ultimately Klare believes her decision to have a day-of coordinator was the best decision she made in her planning.
“What happened was what we were hoping for … We absolutely enjoyed every minute of our wedding. We weren’t worried about anything going wrong. I had complete confidence that I would not have had otherwise.”
